Start with document tasks
List the tasks people need to complete: editing existing PDFs, converting documents, reviewing changes, preparing material for distribution or collecting signatures. Keep occasional viewing separate from paid editing requirements. A department name is not enough to select a product; the same team can contain several different document workflows.
Identify specialist requirements explicitly
If your work requires OCR, redaction, document comparison or a particular signature workflow, name that requirement and check the exact proposed product. An Acrobat subscription and every possible electronic-signature service are not automatically the same scope. Ask about limits and separately priced capabilities instead of assuming they are included.
Test with a safe representative document
Prepare a sample without confidential customer or employee information. Include the formatting, language and output quality you need. Check the complete task, from opening the source file to sharing the result. This can reveal practical differences that a generic product description does not answer.
Compare the business offer
Record users by task, device requirements, term and administration needs. For renewal, check which people still need paid access. Compare like-for-like product lines and identify add-ons. In your enquiry, describe the document workflow rather than attaching confidential documents; any later file exchange should use an agreed channel.
