Software licensing for schools, universities and research

Separate teaching, research and shared-device requirements before choosing institutional software access.

The decision, at a glance
  1. Research

    Methods, people and project duration.

  2. Teaching

Cohorts, dates and shared learning spaces.

  3. Campus IT

    Remote support and managed devices.

Define teaching and research separately

List the learning or research activity, participating groups and required period. A methods course, a doctoral project and a creative lab can have different access patterns. Include preparation and assessment dates, not only scheduled classes. This prevents a short teaching requirement from being confused with ongoing research access.

Count people, devices and simultaneous use correctly

For personal access, identify users. For a shared lab, record devices and how they are used. For a network proposal, estimate total users and simultaneous demand. These quantities answer different questions; the appropriate one depends on the selected product and model. Confirm eligibility for students, staff and external participants explicitly.

Equip the university by research and teaching needs

GraphPad Prism supports scientific analysis and graphing; use its academic guide for lab and departmental access. MAXQDA addresses qualitative research, while Adobe and Toon Boom support creative teaching within their market scope. University IT can separately evaluate Tensor for remote support and Scalefusion for managed campus devices. These products solve different problems and do not share a universal campus license.

Plan operational ownership

Identify the academic owner, IT administrator and procurement contact. Agree how access is tested before the first session and how issues are reported. Any training or implementation work requires an explicit scope. Do not submit student records or research participant data in the public quote form; user groups and approximate quantities are sufficient for the initial enquiry.
